CRPM EXECUTIVE ASSISTANT
The executive assistant is executive’s “right-hand person” and has a role as the eyes and ears for the ED and the CRPM Board, connecting organizations, projects, and critical business information to the ED, ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the priorities of the organization in implementing its development strategy and enables the Executive Board to advance company initiatives and goals.
TERMS OF REFERENCE
The Executive Assistant will support the Executive director and the Executive board of CRPM and in particular will:
- Filter and attend to the day-to-day functions that are part of the executive’s role so that the executive can focus on the high-level leadership and strategy functions; screening phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution;
- Manage scheduling for CRPM’s executive director and Executive Board, maintain the ED’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs;
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings; play a key role in the coordination of staff efforts both within and outside the organization;
- Assist in all activities and processes in which the Executive Board members are involved, including project planning, intake, prioritization, initiation, execution, and training; as well as in fostering collaboration of end-users and key stakeholders;
- Routinely perform support duties such as answer and respond to phone calls, communicate messages and information to the executive director and board members; prioritize emails and respond when necessary; draft, review and send communications on behalf of CRPM executive director;
- Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate; prepare draft speeches, PPTs and briefings on meetings and events;
- Maintain various records, organizing documents and assisting in reporting; prepare, reconcile, and submit expense reports;
- Take notes at meetings; translate materials if necessary and any other tasks that may be delegated for the purpose of better functioning of the organization.
- Maintain paper and electronic filing systems and maintain confidential and sensitive information.
Skills and Competences:
- Bachelor’s degree is preferred (MBA will be an asset)
- Knowledge of English, and active use of Serbian and /or Albanian is a plus
- Excellent written and verbal communication skills
- Time-management skills
- Ability to pay attention to detail

- Ability to multitask
- Basic understanding of frequently used computer software and programs, such as Microsoft Office (Word, Excel, PPT, Teams), Outlook, Trello and etc.
